RedTeam Go + QuickBooks Integration Enhancements

We’re introducing a new set of enhancements to the QuickBooks integration in RedTeam Go designed to improve how construction teams manage accounting data between operations and finance. These updates expand automation, improve payroll and time tracking alignment, and make it easier for companies managing multiple entities to connect their accounting systems.
Together, these improvements reduce manual data entry, ensure cleaner job cost data in QuickBooks, and give accounting teams greater confidence that financial information is synced correctly between systems.
Why These Enhancements Matter
Construction companies rely on accurate, timely financial data to manage job costs, payroll, billing, and vendor payments. When operations and accounting systems aren’t fully aligned, teams often spend hours reconciling data manually.
These QuickBooks enhancements strengthen the connection between RedTeam Go and QuickBooks by:
- Reducing duplicate data entry
- Improving job cost accuracy
- Supporting payroll workflows
- Allowing multi-company accounting configurations

Key Enhancements
Multi-Company QuickBooks Integration
Companies operating multiple entities can now configure separate QuickBooks connections for each company within RedTeam Go. This enhancement applies to both QuickBooks Desktop and QuickBooks Online integrations.
What This Means for Users
- Each company in RedTeam Go can connect to its own QuickBooks account
- Integration settings now support multiple accounting connections
- Financial data flows to the correct accounting system automatically
Why It’s Important
Many construction businesses operate multiple legal entities for liability, tax, or operational reasons. Previously, connecting multiple companies required workarounds. This enhancement enables clean, scalable accounting integrations across all business entities.
Enhanced Employee Time & Payroll Sync
Time tracking in RedTeam Go now better aligns with how payroll data is processed in QuickBooks.
New Capability: Sync Non-Job Time Codes
Users can now map non-job time codes such as:
- PTO
- Sick Time
- Holiday
to a default cost code that syncs with QuickBooks.
What This Means for Users
- Payroll-related time entries sync correctly with accounting.
- Admins can configure mappings in QuickBooks integration settings
- Time that is not tied to a job still flows properly to accounting
Why It’s Important
Construction payroll often includes both job-costed labor and non-job time. These enhancements ensure payroll data flows into QuickBooks without requiring manual correction or reclassification.
AP Transaction Sync Safeguards
RedTeam Go now prevents duplicate AP transactions from being sent to QuickBooks and provides better visibility into sync activity.
What This Means for Users
- Subcontractor Bills will no longer be accidentally resent to QuickBooks after additional approvals (e.g., lien releases or re-acceptance)
- The system checks for an existing QuickBooks reference before sending a Bill
- If a Bill has already been synced, it will not be sent again automatically
- Users can still manually resend a Bill when needed
- Sync activity now includes clearer logs showing when transactions are sent, skipped, or blocked
- Bills cannot be synced to closed accounting periods in QuickBooks
Why It’s Important
Duplicate transactions in QuickBooks create confusion, require manual cleanup, and reduce trust in the integration. These safeguards ensure that Bills are only sent when appropriate, while still giving teams control to resend transactions when necessary. The result is cleaner accounting data, fewer errors, and more predictable integration behavior.
Purchase Orders & Commitment Integration Improvements
RedTeam Go now supports earlier commitment tracking and improves how subcontractor billing ties to Purchase Orders in QuickBooks.
Enable Field Purchase Orders for Bidding & Pending Projects
Field Purchase Orders can now be created and synced to QuickBooks even before a project is marked “In Progress.”
What This Means for Users
- Field POs can be approved and synced while a project is in Bidding or Pending status
- Users will be prompted to assign a project number if one does not exist
- The assigned project number becomes locked once used for syncing
- The project status will not automatically change when a PO is synced
- All existing approval workflows and validations remain unchanged
Why It’s Important
Construction teams often need to issue commitments early in the project lifecycle. This enhancement removes the need to prematurely move projects to “In Progress,” allowing teams to track commitments accurately while maintaining proper project status and accounting alignment.
Automatic Linking of Subcontractor Bills to Purchase Orders
Subcontractor Bills will now automatically link to their corresponding Purchase Orders in QuickBooks.
What This Means for Users
- Bills exported to QuickBooks will automatically associate with the correct Subcontract PO
- PO balances will decrease as Bills are entered
- “Billed-to-date” and “remaining balance” values stay aligned between RedTeam Go and QuickBooks
- QuickBooks reports will accurately reflect commitment balances without duplication
Why It’s Important
When Bills are not tied to Purchase Orders, commitment tracking becomes unreliable and requires manual reconciliation. This enhancement ensures that both systems stay in sync, improving reporting accuracy and reducing accounting effort.
What Will Change for Users
For most users, the transition will be seamless. However, administrators may notice:
New Configuration Options
- Expanded QuickBooks integration settings
- Ability to configure company-specific connections
- Mapping options for non-job time codes
Improved System Behavior
- Duplicate AP transactions are prevented automatically
- Bills and Purchase Orders stay properly linked
- Time tracking sync includes all employee hours
- Clearer sync logs provide better visibility into integration activity

- Fewer corrections in QuickBooks

What to Expect after Release
On March 19, these enhancements will be released to all RedTeam Go customers using the QuickBooks (Desktop and Online) integration.
Expected Changes
- No disruption to existing integrations – current QuickBooks connections will remain active
- New settings will be available in the QuickBooks Integration Settings page
- Optional configuration updates may be required to take full advantage of:
- Multi-company integrations
- Non-job time code mappings
- Improved sync behavior for employee time and payroll-related entries will begin immediately after release
