Commitment Forms: User-Defined Dropdown for Inserting a Narrative

This update adds even more functionality to Commitment Forms in RedTeam. Users can now add their own narratives to their Commitment Forms via a dropdown menu containing different user-defined fields. This allows for the narrative to be inserted into the Terms of a Commitment based on the user’s selection from the dropdown when creating the Commitment. 

Who is impacted by this update?

Anybody who creates Commitment Forms. Typically, Project Managers, Project Coordinators, and Admins.

Why would you use it?

This update adds another layer of customizability to Commitment Forms. Users can configure their dropdown menu to contain unique narratives for any number of different situations. Doing this gives you the flexibility to insert user-selected Narratives into a Commitment. 

How to use this feature

Only users with the required Permissions (typically Admins) are able to create user-defined dropdowns for inserting narratives into Commitment Forms in the Configuration menu. To add a user-defined dropdown with a Narrative you will need to:

  1. Update the Commitment Form to activate a User-Defined Dropdown
  2. Create your Dropdown options and add Narrative(s)
  3. Add the User-Defined Dropdown Narrative to the Terms using the Data Fields
  4. Create a Commitment (using that Form) in Buyout on any Project, and select the dropdown option in step 2

Vendor Invoices: Snapshot Disbursement Authorization

Our latest update to Vendor Invoices is both an improvement to the overall look of a Disbursement Authorization. Now, every time a Vendor Invoice is Committed and/or Executed, the General and Job Cost sections are automatically saved as a Snapshot which can be referenced later. 

Who is impacted by this update?

Anybody who manages Vendor Invoices and reviews Disbursement Authorization. Typically, Project Managers, Project Accountants, Controllers, and Admins.

Why would you use it?

Taking a snapshot of these Vendor Invoice fields makes it simple to go back and see the status and details of the Invoice at the moment it was Committed or Executed. Because Disbursement Authorizations are live reports, the “current” view will always be updated as new information is added to RedTeam. With the snapshots, you can see both the live and previously captured versions.

How to use this feature

The snapshot feature will happen automatically upon a user Committing or Executing a Vendor Invoice. You can see these snapshots by clicking the View icon to open the Disbursement Authorization.

Vendor Invoice Form: Adjust Retainage by Amount

Our latest update to Vendor Invoices adds functionality to how users adjust retainage. Previously, retainage was adjustable only by percentage. Now, users can adjust retainage with a dollar amount as well.

Who is impacted by this update?

Anybody who manages Vendor Invoices. Typically, Project Managers, Project Accountants, Controllers, and Admins. 

Why would you use it?

This update makes it easier to adjust the exact retainage being held against all Invoices entered against a Commitment. Having the option to enter a dollar amount instead gives users additional flexibility. When amounts are entered, the percentage will automatically adjust accordingly. 

How to use this feature

In the Job Cost step (step 2) of a Draft Vendor Invoice, simply toggle the retainage type between percentage and dollar amount.

Email Project Checklists

We continue to roll out more functionality for Project Checklists. In previous releases we announced the ability to Configure custom Checklists, create them on Projects, View them, and create Requests for Correction from a Checklist. Now, you have the ability to email from the View. 

Who is impacted by this update?

Users who create and manage Project Checklists. Typically Project Managers, Project Superintendents, Site Managers, and Admins.

Why would you use it?

Use the email option to send a Checklist to anyone you want to share with, whether inside or outside your organization. Collaborators (recipients of the email) will be able to comment on the Checklist using the collaborative console. 

How to use this feature

From a Project, go to Checklists (use the Home menu for quick access) and View one. The email button will be in the top right corner of the page.

Checklist Forms: Pre-fill "Section" field when using the Save and New Button

We’ve updated the way users create multiple Checklist Forms in RedTeam! In order to reduce unnecessary work, when creating Checklist Forms in succession, the “Section” field will auto-fill when using the Save and New button.

Who is impacted by this update?

Anybody who creates Checklist Forms in Configuration. Typically, Admins.

Why would you use it?

This update makes it easier than ever to create multiple Checklist Forms quickly. Instead of manually filling in each field in each new Checklist Form, simply click the Save and New button to auto-fill the “Section” field on your next Checklist Form.

How to use this feature

You must have the appropriate permissions in order to access the Checklist Configuration menu. Contact your system administrator for more information on permissions. To access Checklist Forms, select Configuration from the Dashboard > Requests for Correction > Checklist Forms. When adding new Items to the Checklist, use Save and New to save the Section.
